What an Intent tech does on event day

Runs the house system. Sound, screens, slides, and playback. If the room has it, we run it.

Sound checks every speaker and panel before doors. Then stays in the room through the last session, not just for setup.

Fixes it fast. When something drops out or won’t connect, it gets handled, usually before the room notices.

One point of contact. We coordinate with the venue’s staff and your speakers, so you have one person to talk to.

What we handle before doors

The advance call. We talk to the venue’s A/V contact the week before, so we know what the room has, what it doesn’t, and what actually works.

The gaps. Every room is short something. We find out what, and we cover it, so you are not sourcing it yourself the week of.

The run of show. We walk your agenda for the moments that go sideways: the panel handoff, the video in the middle of the deck, the award walk-up.

The room has everything it needs. You need someone to run it and own the fixes. Half day or full day.

Tech plus what’s missing

The room is close but short a few pieces. We figure out what’s missing and cover it.

Tech plus a recording

Same tech, plus we capture the day with clean sound, so it lives past the event.

Most event days land between $1,000 and $2,500 depending on hours and what the room needs. Multi-day conferences, multiple rooms, and full livestreams are quoted separately. See livestream production.

How it works

  1. Send the basics. Date, venue, run of show, and what the room already has. If you don’t know what the venue has, we’ll find out.
  2. Fixed quote within 24 hours. One number, no line-item mystery.
  3. We advance the room. A call with the venue’s A/V contact the week before, so event day is execution, not discovery.
  4. Event day. Your tech is in before doors, checks the room top to bottom, runs it, and breaks down after.

Common questions

The venue has in-house A/V. Why would we need you?
House techs are usually shared across every room in the building, or on call from the front desk. We are in your room the whole time, and we work with their team, not around them. Most venues are glad to have us.

What if we’re not sure what the room has?
Send us the venue name and we’ll find out from them. We know where the common gaps are.

Can you record the event too?
Yes. We can capture the day with clean sound. If you want it streamed live with graphics and a producer, that’s a separate service: livestream production.

How far ahead should we book?
Two weeks is comfortable. Short notice happens. Call us, and if the date is open we’ll make it work.

Do you handle breakout rooms?
One tech covers one main room well. Multiple rooms at the same time means multiple techs, quoted plainly.

Do you travel outside Tulsa?
Tulsa metro is home. Oklahoma City and the rest of the state are a day trip, with travel billed at cost.
